Flow: the event operating
system built for Borneo
A white-label event management and ticketing platform that handles everything from registration to post-event reporting. Designed for organisers who run recurring events and need a predictable, commission-free alternative to platforms like Eventbrite.
The problem
Event organisers in Borneo face a persistent challenge: every ticketing platform takes a cut. Eventbrite charges 3.7% plus US$1.79 per sold ticket on top of payment processing fees. Over hundreds or thousands of tickets, that commission adds up to a significant recurring cost — money that could go toward the event itself.
Beyond cost, most platforms don't offer the full operational stack that Borneo-based organisers need: local Malaysian payment channels (DuitNow, FPX, eWallets), on-site badge printing, walk-in agent sales, bulk guest imports for sponsors, and post-event analytics — all in one system.
Place Borneo needed a platform that could serve as a complete event operating system: branded, self-contained, and built to run events at scale without paying per-ticket commissions to a third party indefinitely.
What Flow is
Flow is a ready-to-launch, white-label event management and ticketing platform. It is not a SaaS product with per-ticket fees. It is a deployed platform that the organiser owns and operates — branded to their identity, hosted on their infrastructure, and running their events end to end.
The platform covers the full event lifecycle:
- •Registration and login — user onboarding with secure authentication, including OTP-based email verification
- •Event discovery and listing — a public-facing site where attendees browse upcoming events, save favourites, and purchase tickets
- •Event creation and management — a full organiser dashboard for setting up events, configuring ticket types, pricing tiers, and capacity limits
- •Ticket sales with dual payment gateways — Stripe for international card payments and Fiuu for local Malaysian channels (DuitNow, FPX, eWallets)
- •QR code ticket delivery — every attendee receives a unique QR code ticket, accessible from their "My Tickets" dashboard
- •On-site check-in and QR scanning — staff use the check-in module to validate attendees by scanning QR codes or entering codes manually
- •Agent portal and counter sales — a dedicated staff portal for walk-in registrations, assisted selling, and on-the-spot ticket issuance
- •Badge and dog-tag printing — print-ready attendee badges with QR codes and event metadata for professional on-site accreditation
- •Bulk guest import — CSV import for sponsor lists, VIP guests, and pre-approved attendees, with automatic ticket generation
- •Attendee records and management — full attendee database with search, filtering, export, and CSV download capabilities
- •Post-event reporting and analytics — registration summaries, sales breakdowns, check-in rates, and exportable KPI reports
The architecture
Flow is built as a modern web application with a clear separation between the public-facing event platform and the operational back office. The system is designed to be deployed as a single managed instance per client, with full branding and domain mapping.
Public Event Site
Branded homepage, event discovery, ticket purchase, user registration, QR ticket access — the attendee-facing layer
Organiser Dashboard
Event creation, ticket configuration, attendee management, CSV import/export, sales analytics, and reporting
Operations Layer
Agent portal for counter sales, check-in and QR scanning module, badge printing, and on-site event management tools
Infrastructure
Cloud-hosted on Railway with managed database, custom domain mapping, dual payment gateways (Stripe + Fiuu), and email delivery via Resend
Platform capabilities
Each module in Flow is designed to solve a specific operational problem that event organisers face. Here's what the system delivers in production.
Registration & Login
Secure user onboarding with email verification (OTP). Attendees create accounts, manage their profile, and access their ticket history. Organisers get separate authenticated access to the dashboard.
Event Management
Create, edit, and publish events with custom ticket types, pricing tiers, capacity limits, and scheduling. Organisers control the full event lifecycle from a single dashboard.
Ticket System
Automated ticket generation with unique QR codes. Attendees receive tickets via email and access them from "My Tickets". Each ticket carries a scannable QR for on-site validation.
Dual Payment Gateways
Stripe for international card payments. Fiuu for Malaysian payment channels — DuitNow, FPX, and eWallets. Gateway fees are transparent pass-through costs, not marked up.
QR Check-in
On-site attendee validation through QR scanning and manual code entry. Real-time check-in status updates. Works on any device with a camera and a browser.
Agent Portal
Dedicated staff interface for walk-in registrations and assisted selling. Counter agents can register attendees, issue tickets, and process payments on the spot.
Badge Printing
Print-ready attendee badges with QR codes, names, and event metadata. Supports dog-tag and badge formats for professional on-site accreditation.
CSV Import & Export
Bulk import sponsor lists, VIP guests, and pre-approved attendees via CSV. Export attendee records, sales data, and check-in reports for accounting and reconciliation.
Analytics & Reporting
Dashboard summary with registration counts, sales breakdowns, check-in rates, and revenue tracking. Monthly KPI reporting packs available as an add-on service.
Infrastructure and payments
Flow runs on managed cloud infrastructure. The production stack is designed for reliability during high-traffic event launch windows, with monitoring and release coordination handled as part of the managed service.
| Component | What it provides |
|---|---|
| Cloud Hosting | Railway Pro — managed application hosting with auto-scaling for traffic spikes during ticket launches |
| Database | Managed cloud database with automated backups and point-in-time recovery |
| Domain | Custom domain mapping with SSL — the platform runs on the client's own domain |
| Email Delivery | Resend Pro — transactional email for OTP verification, ticket delivery, and event notifications |
| File Storage | Railway Buckets — secure storage for event images, uploads, and generated assets |
| Stripe | International card payments — 3.0% + RM1.00 domestic cards, with international and currency conversion surcharges |
| Fiuu | Malaysian payment channels — DuitNow, FPX (from RM1), eWallets (1.8%–3.0%), with signup from RM99 |
All third-party infrastructure and payment gateway costs are billed directly by the provider at their published rates. Flow service fees cover the platform, customisation, and operational support — not a markup on hosting or transactions.
Security and reliability
Event platforms handle personal data and payment transactions. Flow is built with security as a foundational requirement, not an afterthought.
- •Secure authentication — OTP-based email verification for user registration, encrypted session management, and role-based access control separating attendees, organisers, and agents
- •Payment security — all payment processing flows through PCI-compliant gateways (Stripe and Fiuu). The platform never stores raw card details. Transaction callbacks are verified with webhook signatures.
- •Data protection — attendee records are stored in encrypted databases with access controls. CSV exports are available only to authorised organiser accounts.
- •QR code integrity — each ticket carries a cryptographically unique QR code that cannot be guessed or forged. The check-in module validates against the central database to prevent duplicate or fraudulent entries.
- •Managed monitoring — the platform runs under continuous monitoring with release coordination, dependency maintenance, and security updates as part of the managed service agreement.
Operational support
Flow is not just software — it's a managed platform. For organisers who don't want to worry about server health, software updates, or what happens when ticket sales spike at 9 AM on launch day, the managed service covers it.
- •Managed hosting and monitoring — release coordination, deployment management, and routine operational checks. Infrastructure is maintained proactively, not reactively.
- •Application support and maintenance — bug fixes, security updates, dependency maintenance, and business-hours support for day-to-day issues.
- •Priority event-day standby — faster SLA, pre-event readiness checks, and standby coordination for critical launch windows. When thousands of people are buying tickets simultaneously, someone is watching.
- •On-site operations support — physical support for registration, check-in, and troubleshooting during live event days. A technical team member on the ground when it matters most.
The commercial model
Flow is priced differently from mainstream ticketing platforms. Instead of charging a commission on every ticket sold, Flow uses a fixed-fee structure: a one-time setup fee and a predictable monthly platform fee. Payment gateway charges are passed through at provider rates with no markup.
| Platform | Pricing model |
|---|---|
| Eventbrite | 3.7% + US$1.79 per sold ticket, plus 2.9% payment processing — recurring commission on every sale |
| Ticket Tailor | £0.60 per paid ticket (pay-as-you-go) or £0.22 per ticket (credits) — per-ticket charge on every sale |
| Flow (Place Borneo) | Fixed setup fee + fixed monthly platform fee — no per-ticket commission, regardless of volume |
For organisers running recurring events with hundreds or thousands of attendees, the fixed-fee model means the cost of the platform stays the same whether they sell 500 tickets or 5,000. The more successful the event, the more the organiser saves compared to commission-based platforms.

Why this matters
Borneo's event industry is growing. Conferences, cultural festivals, sports events, government functions — they all need ticketing, registration, and on-site operations. But the available platforms were built for Western markets with Western pricing and Western payment methods.
Flow changes that. It's a platform built in Sarawak, for Sarawak and Borneo. It accepts DuitNow and FPX alongside Visa and Mastercard. It prints badges with Malay and English text. It supports on-site agent sales in environments where internet connectivity can't be guaranteed. And it doesn't penalise organisers for selling more tickets.
For Place Borneo, Flow is not just a ticketing tool — it's the operating system for running events across the region. One platform, one predictable cost, and one team behind it.
